A journal entry is the initial, detailed record of a financial transaction, documenting which accounts are affected (like cash, expenses, or revenue), the amounts (debits and credits), the date, and a description.
Gather all necessary supporting documentation, including receipts, accrual documentation, and scans of relevant correspondence or direction. Ensure all documentation and actions adhere to University policy, and confirm that the correct cost center, internal order, and other applicable master data are being used.
Select the Cash/Checks JE option on the form for manual and remote deposits, or ACH & Wire Payments JE to record incoming electronic transaction receipts. Do not use this form for internal billings or charges. If more than two journal entry lines are required, complete and upload the Journal Entry Upload Template using the link provided in the form.
Use this form selection for corrections or adjustments to GL accounts, Cost Collectors, and other applicable financial information, as well as for accruals and recording miscellaneous transactions.
Do not select this option on the form when the goal is to record deposits, process internal charges or billings, and handle payments related to Non-PO or PO transactions.
